- Administrative Support:
- Manage the daily administrative operations of the clinic.
- Coordinate schedules and appointments for therapists and clients.
- Answer phone calls, respond to emails, and handle inquiries from clients and other stakeholders.
- Maintain and update client records, ensuring accuracy and confidentiality.
- Prepare and distribute correspondence, memos, and reports as needed.
- Patient Intake and Registration:
- Greet and check-in patients upon arrival.
- Collect patient information, including insurance details and contact information.
- Verify insurance coverage and obtain necessary authorizations for treatment.
- Assist patients with completing intake forms and other necessary paperwork.
- Billing and Insurance:
- Process insurance claims, post payments, and verify coverage for services rendered.
- Bill patients for copayments, deductibles, and outstanding balances.
- Follow up on unpaid invoices and work with insurance companies to resolve any billing issues.
- Maintain accurate billing records and financial reports for the clinic.
- Facility Management:
- Oversee the maintenance and cleanliness of the clinic facilities.
- Ensure that equipment and supplies are adequately stocked and maintained.
- Coordinate repairs and maintenance as needed.
- Monitor safety and security protocols to ensure a safe environment for staff and patients.
- Staff Support:
- Assist therapists and other clinical staff with administrative tasks as needed.
- Coordinate staff schedules and calendar for meetings and company marketing events
- Quality Assurance:
- Implement and maintain quality assurance measures to ensure compliance with regulatory standards and best practices.
- Monitor and evaluate clinic operations to identify areas for improvement.
- Patient Communication and Follow-up:
- Communicate with patients to confirm appointments and provide reminders as needed.
- Follow up with patients to collect feedback on their experiences and address any concerns or issues.
- Serve as a point of contact for patient inquiries and requests for information.
- HIPAA Compliance:
- Ensure compliance with HIPAA regulations regarding patient privacy and confidentiality.
- Safeguard patient information and maintain confidentiality at all times.
- Collaboration and Networking:
- Collaborate with other healthcare providers and community organizations to coordinate care for patients.
- Attend meetings, conferences, and networking events to stay informed about industry trends and developments.
- Build relationships with referral sources and potential partners to expand the clinic's reach and impact.
- Documentation and Reporting:
- Maintain accurate and up-to-date documentation of clinic activities and services provided.
- Generate reports on key performance indicators, such as patient volumes, revenue, and expenses.
- Prepare documentation for audits and compliance reviews as required
